Please read the following Terms and Conditions carefully before booking an appointment. By completing a booking you acknowledge that you have read, understood, and agreed to all policies outlined below. These terms apply to all clients, including new and returning patients.
1.Appointments & Booking
1.1 Booking Confirmation
- All appointments must be booked in advance. A booking is only confirmed once you receive a written confirmation via email or SMS.
- New clients are required to complete an intake form prior to their first appointment. Failure to do so may result in a shortened consultation or rescheduling.
- We reserve the right to decline or cancel a booking at our discretion.
1.2 Appointment Preparation
- Please arrive on time. Late arrivals may result in a reduced consultation time and the full fee will still apply.
- If attending in person, please arrive 5–10 minutes early for your first appointment to allow time for any outstanding paperwork.
- For telehealth appointments, please ensure you are in a quiet, private space with a stable internet connection at the time of your booking.
2.Cancellation & Rescheduling Policy
We require a minimum of 48 hours notice to cancel or reschedule an appointment without a fee.
Cancellations or rescheduling requests made within 48 hours of your appointment will incur a 50% cancellation fee of the total appointment cost.
Exceptions may be made at the practitioner’s sole discretion in cases of genuine urgent or unforeseen circumstances.
2.1 How to Cancel or Reschedule
- All cancellation and rescheduling requests must be made in writing via email or SMS to ensure a record is kept.
- Verbal cancellations (e.g. left as a voicemail) will not be accepted as sufficient notice.
- The time and date of your written notification will be used to determine whether the cancellation fee applies.
2.2 No-Shows
- Failure to attend a scheduled appointment without prior notice (a ‘no-show’) will result in a 100% charge of the appointment fee.
- Repeated no-shows may result in a requirement to prepay future bookings in full, or refusal of future bookings at the practitioner’s discretion.
2.3 Practitioner-Initiated Cancellations
- In the rare event that we must cancel or reschedule your appointment, we will provide as much notice as possible.
- No cancellation fee will be charged to the client in this circumstance and a full refund will be provided if payment has already been made.
3.Payment Policy
3.1 Fees & Payment
- All consultation fees are due in full at the time of your appointment unless a prior arrangement has been made in writing.
- Payment is accepted via credit/debit card.
- Prices are subject to change. Any changes to fees will be communicated to you prior to your appointment.
3.2 Refund Policy
All consultation fees are final and non-refundable once the appointment has taken place.
This applies regardless of outcome, satisfaction with results, or whether a treatment plan was commenced.
If you have concerns about your consultation, please contact us directly and we will endeavour to address them appropriately.
- Prepaid appointment packages or programs are non-refundable once commenced. Unused sessions may be transferred to another appointment type at the practitioner’s discretion.
- If a deposit has been taken and the practitioner cancels the appointment, a full refund of the deposit will be provided.
3.3 Outstanding Invoices
- Any outstanding balances must be settled prior to or at your next appointment. We reserve the right to withhold future bookings until outstanding amounts are paid.
- Overdue accounts may be referred to a debt collection agency. Any associated costs will be passed on to the client.
4.Herbal Medicines, Prescribed Herbs & Supplements
Herbal medicines, prescribed herbal formulas, and nutritional supplements are not included in consultation fees and are charged separately.
- The cost of any prescribed herbs, herbal formulas, or nutritional supplements will be discussed with you at the time of your consultation before any order is placed.
- You are under no obligation to purchase prescribed supplements or herbal medicines through this clinic. However, if you choose to source them elsewhere, the practitioner cannot guarantee the quality, purity, or efficacy of third-party products.
- All sales of herbal medicines and supplements are final. Returns or refunds will not be accepted on dispensed herbal medicines or opened supplement products for health and safety reasons.
- Unopened, undamaged supplement products may be returned within 7 days of purchase with proof of receipt, at the practitioner’s discretion.
- The practitioner will not be held liable for adverse reactions resulting from supplements or herbs sourced independently by the client outside of this clinic.
5.Health Information & Informed Consent
- You are responsible for providing complete, accurate, and up-to-date health and medical information at the time of booking and before each consultation.
- Failure to disclose relevant health information (including medications, allergies, pregnancy, or medical devices) may impact the safety and effectiveness of treatment and releases the practitioner from liability for any resulting adverse outcomes.
- You have the right to ask questions and withdraw consent to treatment at any time. If you choose to discontinue treatment, please notify the practitioner as soon as possible.
- Treatment recommendations are made based on the information you provide and do not constitute a medical diagnosis. You are encouraged to consult your GP or specialist for diagnosed medical conditions.
- The practitioner reserves the right to decline treatment if they believe it is not in the best interest of the client’s health or safety.
6.Telehealth Consultations
- Telehealth consultations are conducted via Google Meet. A meeting link will be provided upon booking confirmation.
- All standard booking, cancellation, and payment policies apply equally to telehealth appointments.
- The client is responsible for ensuring a suitable, private, and adequately connected environment for the telehealth session.
- The practitioner is not responsible for technical difficulties on the client’s end. If a connection cannot be established within 10 minutes of the appointment start time, the session may be forfeited and the full fee may still apply.
- Telehealth consultations are not suitable for all presentations. The practitioner may recommend an in-person visit if clinically appropriate.
7.Privacy & Confidentiality
- All personal and health information collected is handled in accordance with the Australian Privacy Act 1988 and the Australian Privacy Principles (APPs).
- Your information will only be used for the purpose of providing healthcare services and will not be shared with third parties without your written consent, except where required by law.
- You have the right to access your health records at any time upon written request. A small administrative fee may apply.
- SMS and email communications will only be sent to clients who have opted in. You may withdraw consent for marketing communications at any time.
8.Professional Conduct
- We are committed to providing a safe, respectful, and professional environment for all clients and staff.
- Abusive, threatening, or inappropriate behaviour toward the practitioner or any staff member will not be tolerated and may result in immediate termination of the appointment and/or refusal of future bookings.
- No refund will be issued in the event an appointment is terminated due to inappropriate conduct by the client.
- The practitioner maintains professional boundaries at all times. Any concerns regarding professional conduct may be raised directly with the practitioner or directed to the relevant professional association.
9.Limitation of Liability
- The practitioner’s liability is limited to the fullest extent permitted by law. We do not accept liability for any loss, injury, or adverse outcome arising from treatment where full and accurate health information was not disclosed by the client.
- Complementary and alternative health services are not a substitute for conventional medical care. Clients are encouraged to maintain their relationship with their GP and relevant medical specialists.
- The practitioner is not liable for outcomes resulting from a client’s failure to follow prescribed treatment plans, recommended lifestyle changes, or supplement protocols.
10.Changes to These Terms
- These Terms and Conditions may be updated from time to time. The most current version will be available on our website and/or provided upon booking.
- Continued use of our services following any updates constitutes your acceptance of the revised terms.
